TIC Event Suite
1.1 This policy explains how The Imagination Collaborative Pty Ltd, ABN 37 663 415 058 (TIC, we, us), handles personal information in connection with the TIC Event Suite, its AI Helper, the user manual and our licence and account services (the Suite). Words with capitals have the meaning given in our Terms of Subscription.
1.2 Our website privacy policy covers visits to our website. This policy covers buying and using the Suite.
1.3 We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and with any other privacy law that applies to you.
2.1 When you buy or start a Trial: your name, email address and the details you enter at checkout, such as your country, business name and any tax registration number. Stripe takes your payment. We do not receive or store your full card details.
2.2 When you activate and use the Suite: your Licence Key; an identifier for each Device, made by scrambling the computer’s own hardware ID so that it cannot be turned back into it; your Vectorworks serial number; the IP address each request comes from; and the date and time of each activation and licence check.
2.3 When you sign in to your Account: your email address, a one-time sign-in code, and a cookie that keeps you signed in for 24 hours.
2.4 When you ask the AI Helper a question: the information in clause 18.4 of the Terms. That is the question and the earlier questions and answers in that session; the Suite version; the name of the open drawing; a summary of what is in the drawing and what is selected, including object names and counts; a record of recent Suite activity; and, where your Plan or Add-on allows questions about the open drawing, the information the AI Helper reads from the drawing to answer, which may include object names, record data, class and layer names, sizes and positions. We also count how many questions each Licence Key has asked each month.
2.5 When you report a bug or ask for a feature, through the AI Helper or by email: what you write, your Licence Key reference, the Suite version and the date.
2.6 The drawing file itself never leaves your computer. We do not receive your drawings. The information in clause 2.4 is read from the open drawing only when you ask a question.
2.7 What you type is up to you. We cannot remove information from a question you have written. Please do not put a client’s confidential information, or another person’s personal information, in a question.
2.8 Some Suite features contact other services directly from your computer. Looking up historical weather for a site sends the site’s latitude and longitude to Open-Meteo. Looking up a site’s time zone sends its latitude and longitude to our own server. Downloading library content contacts our own content server. Publishing places to Geepers, if you connect your own Geepers account, sends the place names and positions you choose to publish to Geepers under your account. Links in reports to Google Maps and what3words open those services in your own browser. None of these send your name or email address, but our server, and any third party, sees your IP address.
3.1 We use personal information to:
3.2 We send marketing email only where the law allows, and every marketing email lets you unsubscribe. Messages about your Subscription, such as receipts and renewal reminders, are not marketing and are sent while your Subscription lasts.
3.3 We do not use your AI Helper questions, the information described in clause 2.4, or your bug reports to train AI models, and our AI service provider is not permitted to use them for that purpose. We do not sell personal information.
3.4 Automated decisions. Access to the Suite is switched on and off automatically by our licence server, based on your payment status, your Licence Key and the number of Devices activated. If you think an automated decision about your access is wrong, write to us and a person will look at it.
4.1 We share personal information with the service providers that run parts of the Suite for us, only for the purposes in clause 3:
| Provider | What it does for us | Where |
|---|---|---|
| Stripe | Takes payments and manages Subscriptions | United States and elsewhere |
| HighLevel (our CC360 platform) | Runs our website pages, checkout, customer records and email | United States |
| Keygen | Holds Licence Keys and Device activations | United States |
| Cloudflare | Runs our licence, account, AI Helper and content servers | Worldwide network |
| Resend | Sends sign-in codes and licence emails | United States |
| Anthropic | Produces AI Helper answers | United States |
| monday.com | Holds bug reports and feature requests | Overseas, including the United States |
4.2 Stripe also handles some information as an independent business under its own privacy policy.
4.3 Some of these providers are outside Australia, so your information will be sent overseas, mainly to the United States. We take reasonable steps to make sure each provider handles it in a way consistent with the Australian Privacy Principles, including through their published data processing terms.
4.4 We may also disclose personal information where the law requires it, to our professional advisers under a duty of confidence, or to a buyer of the Suite under clause 33.4 of the Terms.
| Information | How long |
|---|---|
| Account, purchase and payment records | 7 years after your last payment, for tax and accounting |
| Licence Key and Device records | While your Subscription lasts, then 12 months |
| AI Helper question counts | About 13 months, then deleted automatically |
| AI Helper questions and answers | Not kept by us after the answer is sent, unless they become part of a bug report. Anthropic keeps them only for the limited time its commercial terms allow |
| Bug reports and feature requests | For the life of the Suite, as the record of the fix |
| Sign-in codes and sessions | 5 minutes for a code, 24 hours for a session |
We protect personal information with encryption in transit, access controls on every service, and by keeping no more than we need. Licence and sign-in tokens are signed and short-lived. No system is perfectly secure. If a data breach is likely to cause you serious harm, we will tell you and the regulator as the law requires.
7.1 You can ask what personal information we hold about you, and ask us to correct or delete it, by writing to [email protected]. We will respond within 30 days.
7.2 We may need to keep some information after you ask us to delete it, for example payment records we must keep by law, or a record of a breach of the Terms.
7.3 If you are in the United Kingdom or the European Union, you also have the rights given by the data protection law there, including to object to our use of your information and to ask us to move it.
8.1 If you think we have mishandled your personal information, please write to us first at [email protected]. We will respond within 30 days.
8.2 If you are not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au. If you are in the United Kingdom, you can complain to the Information Commissioner’s Office at ico.org.uk, and in the European Union, to your national data protection authority.
We may update this policy. We will post the new version with its date and, if the change is significant, email Account holders before it takes effect.
